Tenant Swap Process at Wards Property: A Simple Step-by-Step Guide

At Wards Property, we’re here to make tenant swaps a seamless experience. We understand that circumstances change, and tenants may need to transfer their responsibilities. Our structured Tenant Swap Process ensures a smooth transition while maintaining legal and financial clarity. Please note that as the legal tenant, you remain responsible for rent payments until the swap is fully complete. Here’s how it works:

1. Notify Us

To begin, simply send an email to our admin team with your name and property address. This step helps us log your intention to initiate the swap, keeping our records accurate and updated. Our team will guide you through the next steps.

2. Finding a Replacement Tenant

You’ll need to locate a suitable replacement tenant. We recommend using popular platforms like SpareRoom, Facebook, or other trusted networks. Importantly, the replacement tenant must meet our suitability requirements, such as being a student with a UK-based guarantor if it’s a student tenancy, and should be a good fit with existing housemates. Feel free to contact our team with any questions on what we look for in a replacement.

3. Replacement Tenant’s Application Process

Once you’ve found a suitable candidate, ask them to contact us directly. They’ll need to provide initial details, so we can begin their application process. This includes necessary background checks to ensure a smooth and qualified handover of tenancy responsibilities.

4. Agreeing on a Start Date

If the swap is happening mid-tenancy, we’ll work with both the incoming and outgoing tenants to agree on a start date that suits everyone involved. This step is essential for ensuring a seamless transition with minimal disruption to housemates and landlords.

5. Right to Rent and Documentation

The replacement tenant will need to submit the required documents to Let Alliance, our trusted partner for tenancy processing, and complete the Right to Rent check in our office. This check is mandatory for all tenants to ensure they have the legal right to rent in the UK.

6. Submission of Guarantor Documents

If the replacement tenant requires a guarantor, Let Alliance will reach out to the guarantor to provide the necessary documentation. This step ensures the financial security of the tenancy for all parties involved.

7. Signing the New Tenancy Agreement

Once all documents are in order, all current tenants and the new replacement tenant will review and sign the updated tenancy agreement. This agreement will officially document the new tenant’s responsibilities and outline any terms specific to the swap.

8. Deposit and Rent Payments

The incoming tenant will then handle deposit and rent payments as specified in the new tenancy agreement. This ensures a clear financial transition, safeguarding the landlord and the property.

9. Finalising the Deposit Return

The outgoing tenant will confirm their removal from the Tenancy Deposit Scheme (TDS) and, upon completion of the swap, will be able to acknowledge the return of their deposit. This step provides financial closure, helping you move forward confidently.
